Create a quotation
Price a sourcing or service deal, send it, and export PDF or Excel.
A quotation is the first priced document. Use Quotation in the app. Do not call it a quote.
Screen guide: Quotations. Marketing: Quotations and Projects.
Before you start
- Customer company (and usually a contact)
- For sourcing: products in the catalog, or lines you type on the document
- For service: service type and a customer-facing description
- Organization legal details if you will export
Create the document
- Use + → Quotation, or open Quotations → New.
- Choose sourcing or service. You cannot mix them on one document.
- Pick the customer and currency. The list matches bank-account currencies, including RMB. Currency is editable only while status is draft.
- Add lines:
- Sourcing: pick products, set quantity, factory cost in RMB, commission, and customer unit price.
- Service: one billing line. Fill the description that prints on the export.
- Save as draft until you are ready to send.
Tip
Use Use market rate to fill RMB per 1 unit of the document currency. That fill does not overwrite a rate you already saved. You still must save the quotation. See Currency and rates.
How sourcing prices work (plain language)
- Unit price is what the customer pays in the document currency.
- Factory cost stays in RMB.
- Commission and unit price stay in sync. If you change one, the other updates.
- After you mark the quotation sent, currency and rates lock.
Status
Quotations use: draft, sent, accepted, rejected, expired.
Only an invoice can be paid. If you need to record payment, convert to an invoice first.
Export
From the quotation, export PDF or Excel. The file uses your organization name, logo, and terms. It does not use the Exreach brand. See Document numbers and export branding.
From a product Excel import
After you import products from a quotation Excel file, you can use Create quotation on the success step. The new quotation opens with those product lines already filled (Excel order and column F quantity). Select the customer and save as draft.
From an opportunity
Create the quotation from the opportunity row so the link stays. See Track an opportunity.
Next
When the customer accepts, turn the quotation into an invoice.
